Membership Terms & Conditions

These Personal Training (PT) Terms & Conditions govern the provision of PT services by Tonico Health & Performance (the “Club”). By purchasing or booking PT sessions, the client (“Client”) agrees to these Terms & Conditions, in addition to the standard Membership Terms & Conditions.


1. Scope & Service
  • PT is a separate service from basic membership; sessions are delivered only by Club-authorised personal trainers.
  • PT sessions are for the individual Client only; sessions are non-transferable and may not be used by any other person.
  • PT is provided at the Club premises during opening hours or as agreed; outside-PT or third-party coaches are prohibited unless explicitly approved in writing by the Club.


2. Booking, Payment & Expiry
  • Payment for PT can be made either as:
  • A prepaid pack of sessions, or
  • A subscription / direct debit contract (if offered)
  • Sessions must be used within the validity period specified at purchase. Unused sessions past expiry are forfeited, with no refund.
  • The price per session, duration and validity period will be clearly stated at time of sale.


3. Cancellation & Late-Cancellation / No-Show Policy
  • Clients must provide at least 24 hours’ notice to cancel or reschedule a booked PT session. Cancelling/rescheduling less than 24 hours before the session start (or failure to show) will result in the session being charged in full.
  • If the Club or assigned trainer cancels a session with less than 24 hours’ notice, the Client is entitled to a free rescheduled session, to be used within 7 days (or a timeframe agreed between Club and Client).
  • Clients arriving late to a session will have the session time reduced accordingly and will still be charged the full session rate. If a Client is more than 20 minutes late, the session may be cancelled and charged in full.
  • If the PT service is via direct debit contract: cancellation of PT-by-Direct Debit may only be processed after any minimum initial period (if applicable), and must be requested in writing by the Client in accordance with the Club’s change-of-circumstances form.


4. Commitment & Contract Termination
  • The Club reserves the right to:
  • Reassign a Client to a different trainer at any time (with notice)
  • Terminate a Client’s PT contract if the Client violates Club rules, fails to pay, or behaves in a manner detrimental to the Club or staff.
  • Upon termination of PT contract, no refunds will be given for remaining sessions or unused credits. Any outstanding payment obligations remain due.


5. Health & Safety, Liability, Medical Screening
  • Clients must confirm they are medically fit to undertake training and disclose any relevant medical conditions before beginning PT. If necessary, the Client is required to obtain medical clearance before participating in training.
  • The Club is not liable for personal injury or health issues that arise unless caused by proven negligence, wilful act or default by the Club or its authorised staff. Clients train at their own risk.
  • Pregnant clients or those with cardiovascular conditions, injuries, or any other condition that may be exacerbated by exercise must inform the Club and may be required to get medical approval prior to training.


6. Conduct & Club Policies Apply
  • All sessions are subject to the same rules as general membership: proper attire, hygiene, behaviour, no drugs/alcohol, respect for other members, etc.
  • Use of recording equipment during PT sessions is restricted: Clients may record themselves only if no other member appears in the frame, no tripod or professional filming gear is used, and only if allowed in writing by the Club. Filming in private areas (changing rooms, showers) remains strictly prohibited.


7. Data & Privacy
  • Any personal data collected (health information, contact info) will be processed in accordance with the Club’s Privacy Notice.
  • The Club reserves the right to monitor sessions via CCTV (excluding changing rooms) for safety, security, and compliance.


8. Refunds, Credits & Transfers
  • PT session packs, credits or subscriptions are non-refundable, except where required by law, or in case of a Club-initiated cancellation (e.g. closure, trainer leaving) — in which case a pro-rata refund or session credit may be offered at the Club’s discretion.
  • PT credits cannot be redeemed against membership subscriptions.
  • PT session packs may not be transferred to another Member.


9. Amendments
  • The Club reserves the right to amend these PT Terms & Conditions. The most recent version will always be published on the Club’s website and/or app. By booking additional PT sessions after an amendment, the Client agrees to the updated terms.


10. Governing Law & Jurisdiction
These Terms & Conditions are governed by the laws of England and Wales. Any dispute arising out of or relating to them shall be subject to the exclusive jurisdiction of the courts of England and Wales.
